Terms and Conditions of Sale

Terms of Sale applicable to the Vie de l’Hôtel service. Effective as of 12 June 2026.

These Terms and Conditions of Sale (hereinafter the "Terms") govern the contractual relationship between the company Codetrail, publisher of the Vie de l’Hôtel service (hereinafter "the Publisher" or "the Provider"), and any business customer subscribing to the service (hereinafter "the Customer"). Any subscription implies full and unreserved acceptance of these Terms.

Article 1 — Purpose

The purpose of these Terms is to define the conditions under which the Publisher provides the Customer with the Vie de l’Hôtel service, a software platform for managing hotel and restaurant businesses, and the associated services described on the website.

Article 2 — Definitions

  • Service: the Vie de l’Hôtel platform and all of its features.
  • Room: billing unit of the Service; each pack covers a maximum number of managed rooms.
  • User: any member of the Customer's staff with access to the Service.
  • Subscription: the subscription contract entered into between the Publisher and the Customer.
  • Account: the space allocated to the Customer on the platform.

Article 3 — Description of the service

Vie de l’Hôtel centralises the property's operations: room management and status, housekeeping and maintenance scheduling, task assignment and notifications, quality checks, hygiene and traceability (HACCP), reporting and tracking of technical call-outs, dashboards and reports. The Publisher reserves the right to change the features of the Service.

The Service is a management support tool. It does not replace the Customer's regulatory obligations, in particular with regard to hygiene and food safety, for which the Customer remains solely responsible.

Article 4 — Subscription

Subscription is carried out online via the dedicated form. The Customer guarantees the accuracy of the information provided. The contract is concluded as of the registration of the Customer's payment method and the activation of the Account by the Publisher.

Article 5 — Prices

The billing unit of the Service is the room. The Service is sold in the form of packs: each pack caps a number of rooms, the number of users being unlimited and having no effect on the price. The entry offer is 49,00 € excl. VAT per month for 10 rooms. The list of packs appears on the Pricing page, which forms an integral part of these terms. Beyond the largest pack, a custom offer is drawn up on quotation.

Setup costs are free of charge. Prices are stated excluding VAT, applicable VAT being added at the rate in force. The Customer may change pack at any time; the new price applies from the following subscription period. The Publisher reserves the right to change its prices, the Customer being informed at least thirty (30) days in advance; any change applies at the end of the current subscription period.

Trial offer. As a limited-time offer, any first subscription benefits from a free trial period of 30 days. Nothing is charged during the trial; the first charge is taken at its end. The Customer may cancel at any time during the trial at no cost. The Publisher may end this offer at any time for future subscriptions.

Article 6 — Payment terms

Payment is made by bank card, via our payment provider Stripe. Card data neither passes through nor is stored by the Publisher. The subscription is charged automatically on each due date.

  • Monthly plan: invoiced and charged every month.
  • Annual plan: invoiced and charged once a year, for an amount equal to 10 times the monthly price of the pack, i.e. 2 months free.

In the event of a payment incident, the Publisher may suspend access to the Service after a formal notice has remained unanswered for eight (8) days.

Article 7 — Term and cancellation

Monthly plan: the subscription is entered into with no minimum term and renews on a monthly basis. Either party may terminate it at any time by written notice (email to jt@codetrail.eu); cancellation takes effect at the end of the current monthly period.

Annual plan: the subscription is entered into for a fixed term of twelve (12) months, tacitly renewable for annual periods. It may be cancelled by written notice at least one (1) month before its renewal date; cancellation takes effect at the end of the current annual period. Amounts paid for the period already begun remain due to the Publisher.

Article 8 — Customer obligations

The Customer undertakes to use the Service in accordance with its intended purpose and with applicable regulations, to inform its users of the processing of their data, to obtain any consents that may be required, and to keep its login credentials confidential.

Article 9 — Availability and maintenance

The Publisher uses reasonable means to ensure the availability of the Service. It may carry out maintenance operations, as far as possible outside business hours, and cannot be held liable for interruptions related to the Internet or to the Customer's devices.

Article 10 — Personal data

The processing of personal data is described in our Privacy policy (GDPR), which forms an integral part of these Terms. In the context of the Service, the Publisher acts as the Customer's processor within the meaning of the GDPR for user data.

Article 11 — Intellectual property

The Service, its software, trademarks and content remain the exclusive property of the Publisher. The subscription grants the Customer a personal, non-exclusive and non-transferable right of use for the duration of the subscription. Data entered and generated by the Customer belongs to it.

Article 12 — Liability

The Publisher's liability is limited to direct and foreseeable damage. It may not, in any event, exceed the amount paid by the Customer over the last twelve (12) months. The Publisher cannot be held liable for indirect damage, nor for the consequences of improper use of the Service.

Article 13 — Force majeure

Neither party may be held liable for a failure to perform its obligations resulting from a case of force majeure within the meaning of Article 1218 of the French Civil Code and applicable case law.

Article 14 — Governing law and disputes

These Terms are governed by French law. In the event of a dispute, the parties will endeavour to find an amicable solution. Failing that, the dispute will be brought before the competent courts with jurisdiction over the Publisher's registered office.
